This is RICOH’s annual Asia Pacific distributors’ conference where delegates come for a presentation of the products they will be selling including a product launch. There is a gala dinner and awards night to recognise those who have given outstanding solutions on certain product issues.
Conrad Macao Hotel made sure that the client’s expectations are not just met but exceeded. The members of the hotel staff were accommodating, making sure guests were happy and satisfied. RICOH needed assistance throughout the two day
conference and the staff attended to RICOH’s team with minimal supervision and follow ups. Conrad Macao opened only a month prior the conference and it was a new and exciting place to be in.
There were quite a number of last minute changes on the event agenda that had a snowball effect on the succeeding activities. This included food preparation and serving.
At one time, lunch and coffee break were requested earlier than scheduled; at another time, dinner was delayed and food was ready to be served outside the door!
The logistic arrangements required the hotel staff to be discreet such that everything had to be set-up nicely without the delegates’ knowledge.
As Conrad Macao Hotel just opened, the venue still had some areas under construction and there were drilling noises that were audible at certain times.
All the last minute changes on the event agenda were solved by the good teamwork and communication skills of Conrad staff. The dinner food serving that had been put on hold, had minimal delay by communicating and reminding the RICOH conference organisers that the food was ready and best served hot.
Every last minute changes required the whole Conrad team to be up on their toes and support each other in adapting and making adjustments.
The Conrad team also communicated with the construction team in advance to be mindful of possible noises while the conference was ongoing. There were occasions that construction noises are suddenly heard and it entailed diligent communication to the construction team to keep the noise level down.
REGIONAL MEETING TRENDS:
Macau will become more mature in being a MICE city. Macau has lots of meeting spaces to offer and event planners have a variety of options at Conrad for annual sales conferences and big product launches. Creative meeting spaces and breakout rooms for MICE are in abundance. The Macau infrastructure is well put together to make any event hosted in the city-state, convenient and successful.
